“ASHFORD CHRISTIAN WOMEN” (ACW) treats the privacy of all its mailing list members and other contacts very seriously and we take appropriate security measures to safeguard their personal data*.

This notice explains how we collect, use, protect and share personal data.

*Personal data means any information that may be used to identify an individual, including, but not limited to, a first and last name, an email address or other contact information.

We collect personal information from:

  • subscribers to the ACW website mailing list

  • individuals booking and/or attending any ACW local event

  • anyone who contacts us via email or through other postal services

We use personal information to:

  • keep in touch with those on our mailing list

  • carry out reasonable administration of our mailings, donations, attenders at our events and feedback

  • improve our communications and plan our events

We also collect data relating to use of our website.

HOW WE OBTAIN PERSONAL INFORMATION

Information provided by the data subject

Those who have joined our mailing list have freely provided us with their personal data.

In most cases this has been by joining our mailing list via our website subscribe or contact form, or through our online booking process for ACW events. Occasionally, individuals have provided their name and email address in writing whilst attending one of our local events.

We do not offer a postal mailing list to individual subscribers at the current time.

The information that we have received from contacts includes:

  • name

  • email address

Some of our contacts may also provide:

  • a telephone number

  • the name of their church or denomination

 

Information we get from other sources

We sometimes use legal publicly available sources to obtain information. For example:

  • a church website to obtain the contact details for a minister or church administrator who we may wish to contact with the purpose of advertising our events and/or website to their congregation members

  • obtain from public directories the telephone number for a contact if we have cause to contact them and do not already have a number

  • to ensure that a contact’s details are up to date

  • to contact local services: e.g. the manager of a local venue when planning an event

 

HOW WE USE PERSONAL INFORMATION

We use personal information to:

  • administer mailings to our contacts

  • to share information about forthcoming ACW events, updates of our website or other information that we consider may be of interest to our contacts

  • respond appropriately to those who contact us, and keep a record of contact and correspondence

  • maintain our own accounts and records

  • make an occasional live telephone call to a supporter for specific time-sensitive purposes

  • improve our communications, event planning and website development

We endeavour to keep personal information up to date.

OUR RESPONSIBILITIES

We send mailings via email about ACW events, other ACW news and, very occasionally, about other items that we consider will be of interest to our mailing list contacts.

A person can change their mind at any time and withdraw from our mailing list. Every email sent via our web host provider has a link to help the recipient unsubscribe if they wish to stop receiving emails.

​

We may on occasions use the church or denominational information provided by some of our supporters, to inform our service.

 

We keep personal information secure with appropriate measures in place to attempt to protect against the loss, misuse, and alteration of personal information.

 

Our web host provider, Wix.com, enables us to gather statistics around email opening and clicks to help us monitor and improve our mailings.

SHARING INFORMATION

We will not share the personal information we hold with another organisation for their own purposes and we will never sell personal information for any reason whatsoever.

There may be occasions where it is necessary to share personal information where it is required by law or to respond to any legal or regulatory action.

HOW LONG WE KEEP DATA

ACW keeps the personal information of our contacts for as long as we need it to maintain communication or when keeping the information is otherwise necessary. We take into account our need to meet any legal, statutory and regulatory obligations. These reasons vary from one piece of information to another. For example, we will keep information relating to donations for seven years.

If a contact unsubscribes from our emails they are removed from our mailing list. Details of unsubscribers’ email addresses will be kept for as long as is necessary, depending on what other types of contact we have with the individual, for example relating to donations or other services that have been provided.

Our need to use personal information is assessed on a regular basis.

SUBJECT ACCESS RIGHTS

A person has certain rights under existing data protection law including the right to request a copy of the personal information we hold about them. From 25 May 2018 a person will have the following rights unless an exemption applies:

Right to access

The right to access the personal information that we hold about them. We shall respond promptly, and certainly within one month from the point of receiving a subject access request and all necessary information.

 

Right to correct

The right to obtain from us, without undue delay, the rectification of inaccurate or incomplete personal information we hold concerning them.

Right to erase

The right to ask us to erase their personal information without undue delay.

​

Right to restriction of processing

In certain circumstances, the right to restrict us from processing their personal information.

Right to object

The right to object to our use of their personal information including where we use it on the basis of our legitimate interests.

We aim to keep our information about our mailing list members and those who contact us as accurate as possible. If a person wishes to access, review or change the information supplied to us, they can contact us as set out below.
